Data Deletion Instructions

You may delete eligible records in the FuelTrack Android app or request removal of selected data without closing your entire account. Your available actions depend on your organization role and the ownership of the record.
1. Data you may ask us to delete
- Eligible fuel entries and notes you submitted.
- Personal profile or support information that is not required to operate your active account.
- Client, vehicle, member or operational records when the request is made or approved by an authorized organization Admin.
- Your full personal account or, if you are the Organization Super Admin, the entire organization and its dataset.
2. Delete an eligible record in the app
- Sign in to the FuelTrack Android app.
- Open the relevant fuel entry, vehicle, client or other record.
- Select Delete where that action is available to your role, review the warning and confirm.
- If a Delete option is not available, contact an authorized organization Admin or submit an email request using the instructions below.
Export any records you are authorized to keep before deletion. Completed deletions cannot be reversed.
3. Submit a data deletion request by email
Email fueltrackpk@gmail.com from the address associated with your FuelTrack account and use the subject “FuelTrack PK Data Deletion Request.” Include:
- Your registered FuelTrack email address.
- Your organization name, if applicable.
- A clear description of the data to be deleted, including relevant dates, vehicle names or entry references where available.
- Whether you want to keep your account active after the requested data is removed.
Never send your password, one-time verification code or complete payment card details. We may verify your identity and organization authority before acting on the request.
4. Full account or organization deletion
To permanently close your personal account or delete an entire organization, follow the steps on the Account Deletion page. An organization-wide request must be made by the Organization Super Admin or another person who can demonstrate appropriate authority.
5. Organization records and approvals
Some operational records are maintained on behalf of an organization rather than an individual user. We may ask the Organization Super Admin to confirm a request that would affect other users, approvals, reports or business records. If a record must be retained for a legitimate organization or legal purpose, we will remove or anonymize personal identifiers where reasonably possible and explain the applicable limitation.
6. Processing time
Verified deletion requests are normally completed within 30 days. We will contact you if additional verification, organization approval or information is required. Requests involving multiple records or lawful retention obligations may require additional time, in which case we will provide an update.
7. Information that may be retained
Limited information may be retained where necessary for legal, financial, fraud-prevention, security, audit or dispute-resolution purposes. Deleted information may remain temporarily in protected backups until overwritten through the normal backup cycle. Any retained information is restricted to the purpose requiring its retention and is not used for unrelated purposes.
8. Effect on reports and subscriptions
Deleting operational data may change totals, reports and approval history. Deleting selected data or an account does not automatically cancel a subscription purchased through an app store. To stop future renewal charges, follow the Subscription and Cancellation Policy.
